Attendees Terms and Conditions
These are the Terms & Conditions that apply to NEW WAVE MEDIA (the “producer”) clients hereafter “attendee” that attend the Port of the Future Conference. An Attendee is bound to these terms and conditions once they have completed and submitted their registration form through the official online registration portal, or via submission of the PDF registration form through mail or email.
Registration & Acceptance: Submitting a registration constitutes an offer by the attendee to attend the Port of the Future Conference. All registrations are subject to acceptance by New Wave Media, which reserves the right to refuse or revoke registration at its sole discretion. Registration is issued for personal use only and may not be resold or transferred without prior written consent. Substitutions may be made up to 24 hours prior to the first day of the Conference.
Payments: All registrations made prior to the Port of the Future Conference must be paid in full to guarantee entry. Once payment has been received, an email confirmation will be sent. If payment is not made at the time of booking, registration will be provisional until confirmed.
Early Bird Rate: To qualify for “early bird” rates or discounts, registration and payment must be received before the deadline date listed in the Port of the Future Conference marketing materials and on the official website.
Cancellation Policy: Our cancellation policy allows for a refund, less a 10% administrative charge, for cancellations received in writing at least 30 days prior to the start of the Conference. No refunds will be made after this date. Should New Wave Media postpone the Conference, your registration will automatically roll over to the new date. If the Conference is canceled, New Wave Media will refund the amount paid by the registrant. Personal arrangements, including travel and accommodation, are at your own risk and New Wave Media will not be liable for any costs relating to such arrangements.
Adjustment of Registration Fees: After a delegate’s registration is completed, New Wave Media reserves the right to review the information provided and adjust the registration ticket type and fee if it is found that the information provided was misrepresented, false, or incorrect. Adjusted fees will be charged directly to the payment method on file.
Changes to Event Format: New Wave Media reserves the right at any time to change the format, content, location, venue, opening hours, duration, dates, or other aspects of the Conference, including converting from a physical to a virtual or hybrid event, without liability.
Code of Conduct: All attendees are expected to abide by the Conference Code of Conduct. Harassment, discrimination, or disruptive behavior will not be tolerated. New Wave Media reserves the right to remove attendees who fail to comply without refund.
Speakers: Views expressed by speakers are their own. New Wave Media shall have no liability for advice given, or views expressed, by any speaker. New Wave Media may use the speaker’s name and presentation materials for promoting attendance at the Conference. Presentations must be objective and free of commercialism. Sessions may be audio and/or video recorded, and recordings may be reproduced as part of Conference materials. Speakers and delegates consent to the incidental use of their names and likenesses in any such materials. Unauthorized recording, livestreaming, or reproduction of sessions by attendees is strictly prohibited.
Data Protection: By submitting registration details, attendees agree to allow New Wave Media and sponsoring companies associated with the Conference to contact them regarding related services. Attendee details may be placed on an attendee list shared with sponsoring companies for networking and follow-up. Delegates who do not wish to be included must notify New Wave Media at the time of booking. Badge scanning by exhibitors or sponsors constitutes consent to share personal data with those third parties, who are then responsible for their own use of such data.
Websites & Links: The Conference website may link to third-party websites for the convenience of users. New Wave Media accepts no responsibility or liability for the contents or use of such websites.
Photographs & Media: By attending, attendees consent to being photographed, filmed, or recorded. New Wave Media reserves the right to use any images, recordings, or publicity materials obtained during the Conference for promotional or other purposes, without compensation.
Admittance: New Wave Media reserves the right, in its sole discretion and without refund, to refuse admittance to or expel any attendee whose behavior is deemed disruptive, unsafe, or otherwise inappropriate. In such case, no portion of fees will be refunded.
Assumption of Risk: Attendees expressly assume all risks associated with attending the Conference, including risks from travel, participation in tours or site visits, or engagement in optional activities. New Wave Media disclaims liability for personal injury, disease, property damage, theft, or other losses sustained in connection with attendance, except to the extent caused by gross negligence or willful misconduct of New Wave Media.
Disclaimer: New Wave Media may at any time, with or without notice, cancel or postpone the Conference, or withdraw any invitation to attend. Neither New Wave Media nor its officers, employees, agents, or representatives shall be liable for any loss, damage, or expense incurred by attendees in connection with such changes, except as expressly provided herein.
Force Majeure: New Wave Media shall not be held responsible or liable for delay or failure in performance caused by circumstances beyond its reasonable control, including but not limited to natural disasters, strikes, acts of government, terrorism, pandemics, epidemics, civil disturbance, acts of war, venue unavailability, or other force majeure events. In such cases, the Conference may be rescheduled or canceled without liability.
Governing Law & Dispute Resolution: This Agreement shall be governed by the laws of the State of Texas. All disputes shall be settled through arbitration in accordance with the rules of the American Arbitration Association, or in a court of competent jurisdiction in Texas. The prevailing party shall be entitled to recover reasonable attorney’s fees and costs.
Amendments: New Wave Media reserves the right to amend these terms and conditions at any time. Attendees will be subject to the terms in effect at the time of the Conference.
Entire Agreement: These Terms & Conditions, together with any Conference Rules and the Code of Conduct, constitute the final, complete, and exclusive agreement between the parties regarding the Port of the Future Conference. If any portion of these Terms is found invalid, the remainder shall remain in full force and effect.
