Code of Conduct

Port of the Future Conference — Code of Conduct

Produced by New Wave Media (“we/us/our”). This Code applies to all Conference venues, tours, official auxiliary events, and digital platforms (live streams, apps, community sites). Participants include attendees, speakers, sponsors, exhibitors, media, contractors, volunteers, and staff (“you/your”).

Purpose: A Great, Safe Experience

We are committed to a professional environment where every participant can learn, network, and do business safely and respectfully. By registering for or attending the Conference, you agree to follow this Code. Anyone asked to stop unacceptable behavior must comply immediately; violations may result in removal without refund and additional actions described below.

Comfort & Safety at Live Events

  • Do not act in ways that endanger your own or others’ health, safety, or security.
  • Follow all venue and organizer rules, instructions from security and staff, and posted emergency procedures.
  • Do not obstruct exits, alter safety signage, or misuse safety equipment.
  • If you feel unwell (e.g., fever or symptoms that could risk others), please refrain from attending and contact the event team about alternatives.
  • Report hazards, unsafe behavior, or security concerns promptly (see “Reporting Concerns”).

A Respectful, Inclusive Environment

We have zero tolerance for discrimination, harassment, or abuse in any form—at live/on-demand sessions, tours, exhibit areas, auxiliary events, or online.

  • Prohibited conduct includes discrimination or harassment based on (including but not limited to) race, color, national origin, citizenship, sex, gender identity or expression, sexual orientation, age, disability, medical condition, religion, veteran status, or marital status.
  • Prohibited behaviors include: threats; stalking; intimidating conduct; unwanted sexual attention or contact; obscene, profane, or slur-based language; display/distribution of offensive or sexually explicit materials; and any physical aggression or violence.
  • Weapons or items used to threaten or intimidate are not permitted.
  • Do not deliberately damage venue property or others’ property.

Participation & Session Etiquette

  • Engage constructively. Do not disrupt sessions, tours, or demos (e.g., heckling, sustained interruptions, noise, or obstruction).
  • Follow moderator guidance for Q&A and timekeeping.
  • Respect accessibility and seating accommodations.

Photography, Recording & Media

  • Organizer photography and recording may occur throughout the event. By attending, you consent to the use of your image, likeness, and voice in event coverage and promotional materials without compensation.
  • Unauthorized livestreaming, filming, or recording of sessions or exhibits is prohibited. Follow posted signage and speaker/session rules.
  • Respect “no photography” requests where indicated (badges, signage, or staff instruction).

Digital Platforms & Community Spaces

This Code also applies to our virtual sessions, apps, and community pages.

  • Do not post defamatory, harassing, discriminatory, or knowingly false content.
  • Respect platform terms; do not share login credentials or attempt to disrupt services.
  • Marketing posts must follow event rules; no spam or unauthorized solicitations.

Responsible Consumption

  • Follow venue rules for alcohol, smoking, vaping, and tobacco. Only consume where permitted.
  • Do not handle or demonstrate equipment if your judgment or performance may be impaired.

Sustainability

  • Use provided recycling/waste stations and consider reusable containers where possible.
  • Follow any local guidance on sustainable travel and venue practices.

Event Attire

  • Dress professionally and appropriately for a business conference and site tours.
  • Avoid clothing with offensive imagery, language, or slogans.
  • Closed-toe footwear and other PPE may be required for certain activities or tours.

Minors & Access

This is a professional event. Access for individuals under 16 is generally restricted. The organizer may limit access to certain areas or sessions and may require minors to be accompanied by a registered adult at all times. Some areas (e.g., equipment demos, tours) are not suitable for minors.

Reporting Concerns

If you witness or experience behavior that violates this Code or have safety concerns, please report it immediately so we can take action.

  • On-site: Visit Registration/Help Desk or notify any staff member or security.

  • Emergency: Call local emergency services.

We aim to respond promptly. When possible, share the location, names/badges (if known), description of the behavior, and any supporting details. We will handle reports as discretely as feasible and consistent with safety and legal obligations. Retaliation for good-faith reports is prohibited.

Enforcement & Consequences

At our discretion—and in line with the event Terms & Conditions—we may take any lawful action we deem appropriate, including but not limited to:

  • Verbal or written warning
  • Removal from sessions or areas
  • Expulsion from the event without refund
  • Revocation of credentials and denial of entry to future events
  • Involving venue security or law enforcement

Privacy & Personal Data

Personal data is handled per our Event Terms & Conditions and Privacy Policy. If you allow your badge to be scanned, you consent to share your information with that sponsor/exhibitor, who will use it under their own privacy practices.

Accessibility & Accommodations

We strive to make the Conference accessible. For reasonable accommodations (e.g., mobility access, assistive listening, dietary needs), please contact us in advance at info@portofthefutureconference.com. On-site, visit Registration for assistance.

Scope, Updates & Non-Negotiability

This Code applies to all official Conference spaces, tours, auxiliary functions, and digital channels. We may update this Code at any time. Your attendance and participation indicate acceptance of the then-current Code.
